Recurring batches

A template stores an activity, hours, rate & note as one saved bundle — for a specific recurring task, not a general activity type. Create or edit them here; to use one, pick it under Start from template on the New Entry page. (Just want every email or call to default to a certain length regardless of matter? Use Activity presets in Account Settings instead.)
E-billing / LEDES export
Export the current batch (built in New Entry) as a LEDES 1998B e-billing file — one invoice per matter — to upload to a client's e-billing portal. Set each row's UTBMS code in the grid; non-billable rows are excluded. Nothing posts to Clio.
Client billing guidelines
Save a client's outside-counsel billing rules. At submit they warn on matching entries — matched by the client name in the matter, or pick one per batch. Enter them by hand here; nothing leaves your servers.

AI & automation
Every AI-powered feature is off by default except Receipt scanning. Nothing here posts to Clio on its own — you always review and confirm first.
Turning on any AI feature above sends the related text or image to Claude for processing. Once enabled, TallyFord can no longer guarantee client confidentiality for information handled that way, and isn't responsible for information that leaves your firm as a result. This applies firm-wide — make sure your partners know before you flip a toggle on.
Matter-match memory
Remembers imported names → matters so re-importing a recurring list (e.g. a litigation / default-judgment list) resolves known names instantly, with no Clio lookup. 378 names remembered.

Pre-filled on every new row (each row stays editable). Blank fields fall back to the app's built-in defaults. Rate and timekeeper aren't set here — the timekeeper is always whoever's signed in, and their rate (under Members & access) applies automatically. This prevents entries getting attributed to the wrong person by an unnoticed default.

Activity presets
Standing hour defaults keyed to an activity type — e.g. every email starts at 0.2h, no matter which matter or client it's for. These show up as options in the Activity category dropdown and pre-fill on Unbilled Time; bump an individual entry up or down before adding it whenever it needs it. (Looking for something that also sets a rate and note, or applies to one specific recurring task? That's an Entry template, under Recurring & Templates.)
Members & access
Everyone who has signed in from your firm's Clio account. Admins manage firm settings, invites, and roles — a firm always keeps at least one admin. Each teammate's rate is their own — New Time Entry auto-fills whoever is signed in.
